Administrative Coordinator
Reports to: Executive Director

The Manitoba Chamber Orchestra (MCO) is a Winnipeg-based arts organization creating bold programming, meaningful collaborations, and deep community connections. We’re a small, passionate team committed to making life-changing musical experiences accessible to all.

We’re hiring a part-time Administrative Coordinator to play a central role in keeping the organization running day to day. This position is ideal for someone who enjoys variety, takes pride in well-organized systems, and wants to contribute to the success of a creative, community-focused arts organization.

Your role

As the MCO’s central administrative lead, you’ll keep the office organized, efficient, and running smoothly. You’ll manage daily operations, coordinate ticketing and donor processing, maintain databases, arrange artist travel, support volunteers, and coordinate logistics for concerts and events. It’s a hands-on role for someone who enjoys variety, takes initiative, and thrives as part of a small, energetic team.

Administrative & Office Coordination

  • Oversee the daily operations of the office and shared workspace
  • Manage office supplies, mail, equipment maintenance, and filing systems
  • Process deposits and cheques in coordination with the bookkeeper
  • Maintain internal records, contact lists, and filing systems
  • Coordinate and supervise volunteers
  • Arrange travel and accommodations for visiting artists in collaboration with the production team
  • Assist with scheduling, document preparation, and meeting coordination for the Executive Director and Board

Box Office & Donor Coordination

  • Manage ticket inquiries and orders by phone and email
  • Organize ticket holds, comp lists, and will call logistics
  • Process donations, issue tax receipts, and prepare donor acknowledgments
  • Assist with donor communications, mailings, and fundraising campaigns
  • Maintain accurate records of patrons, donors, and subscribers in the CRM
  • Generate reports and data exports to inform communications and fundraising

Event Production

  • Contribute to planning and administrative tasks related to concerts and events
  • Assist with box office, guest lists, or registration when required
  • Coordinate volunteers and front of house operations

About You

  • You’re highly organized, detail-oriented, and enjoy juggling multiple responsibilities
  • You communicate clearly and work well with others — whether welcoming patrons, emailing artists, or coordinating with colleagues
  • You’re comfortable with systems, spreadsheets, and databases, and happy to learn new tools
  • You have experience in an administrative or office coordination role
  • You believe in the power of the arts to build community and want to help make that happen

Work Environment & Compensation

This is a part-time position (three days per week) with a salary range of $26,000 to $31,000 per year, based on a 60% workload. The role is primarily in-office in downtown Winnipeg, with the possibility of some hybrid work hours. The MCO works regular business hours, with occasional evenings or weekends for concerts or events.
